Role: Events Associate (full time).

Location: Global remote with a strong preference for someone based in the UK, US East Coast, or US Bay Area (or willingness to relocate).

Salary: $68,750–$96,082 / £44,711–£62,485. Compensation is benchmarked to US salaries and adjusted for proficiency and candidate location.

About SAIF

The Safe AI Forum (SAIF) is a US 501(c)3 dedicated to advancing international cooperation to reduce extreme AI risks and ensuring the benefits of AI are shared by all. We specialise in international AI governance—fostering coordination, cooperation, and communication across non-state actors and governments in the most important AI jurisdictions.

Our work focuses on building a trans-Pacific ecosystem of high-trust dialogue on extreme risk and international coordination, identifying the most important and tractable international governance interventions through research, and providing advisory services to key stakeholders. Our flagship programme (the International Dialogue on AI Safety) brings together senior computer scientists and AI governance experts from multiple jurisdictions to collaborate on AI risk, and we also run workshops and working groups.

We're a team of nine based across the UK and US. We're impact-focused and move quickly, balancing rigour with speed and taking genuine ownership of outcomes. About the Role

SAIF is looking for an Events Associate to support our growing events programme. You’ll report to SAIF’s Head of Events, Lily Hughes, and work with people across the organisation to support SAIF events throughout the year. This will include working on IDAIS, coordinating trimesterly team retreats, and providing event production support to our other programmes. 

IDAIS is SAIF’s flagship programme. We held our inaugural Dialogue at Ditchley Park, and hosted subsequent Dialogues in Beijing, Venice and Shanghai. The next IDAIS will be in London in April, 2026. 

In addition to IDAIS, we’re currently expanding our events capacity to host in-person workshops, study tours, and other events. As we grow, we hope to scale our events programme and provide additional opportunities to advance global coordination that minimises extreme AI risks. This role will be essential in supporting SAIF’s expanding events portfolio. We need someone who is excited about the minutiae of event production, who can fix problems before they happen, and who truly enjoys the logistics behind planning and delivering high-impact events on time and on budget. 

What you'll do

You’ll provide logistical support for SAIF events, including team retreats and IDAIS. You’ll work closely with the Head of Events and research team members to coordinate the planning, development and on-site delivery of a range of events. This could include topic-focused workshops, networking drinks or dinners, study tours, and other unique event opportunities that arise throughout the year.

Depending upon the event, core responsibilities will likely include:

  • Leading on logistical components of event planning, such as venue and vendor searches.
  • Creating and managing event budgets, including invoices, purchase orders and participant expenses.
  • Developing and delivering project plans or roadmaps for small to medium scale events.
  • Overseeing participant liaison, visa support, travel and accommodation arrangements.
  • Managing ‘on the day’ event production, including AV, catering, participant registration, and the set-up and breakdown of event spaces.
  • Maintaining excellent event documentation and project management systems (such as an Airtable board or Asana project plan).
  • Collaborating with partner organisations across the globe on event logistics and delivery.
  • Coordinating event materials (swag, printing, branding and signage).
  • Supporting event evaluation through surveys, reports and debrief meetings.
  • Assisting with event communications, press releases, and social media posts as needed.
  • Handling additional event administration tasks as needed, such as compliance screening checks.

Depending upon your expertise and your own career interests and goals, additional responsibilities in this role could include:

  • Contributing to event design, setting agendas, researching potential speakers or event partners.
  • Helping develop SAIF’s broader events strategy with the Head of Events.
  • Building scalable systems and processes for managing events efficiently.
  • Supporting the Research team on networking trips to AI safety “hubs” and events.
  • Supporting the operations and executive team on ad hoc tasks to keep SAIF running smoothly and maximising our impact.

About You

Essential:

  • Two years of experience in event management or a related field (or a bachelor's degree/equivalent in event management or related area, or exceptional organisational skills and strong evidence of rapid learning).
  • Strong project management skills and the ability to prioritise effectively.
  • Experience working with event vendors, such as venue managers, catering companies or AV suppliers or demonstrated ability to manage external relationships professionally.
  • The ability to manage multiple projects at the same time.
  • Strong attention to detail.
  • A ‘solutions oriented’ mindset with strong problem-solving skills.
  • Clear, concise written communication.
  • Ability to be professional and friendly with a wide range of people.
  • Proficiency with Google Docs & Sheets or similar.

Desirable:

  • Familiarity with AI safety/governance, especially as it relates to the US or China.
  • Experience working internationally or working on international events.
  • Experience working in a small, non-profit or research organisation.
  • Experience coordinating travel and accommodation for VIP speakers.
  • Experience running online workshops or hybrid events.
  • Ability to adapt to uncertainty and last minute changes.
  • Proficiency with Airtable, Asana, or similar.

  • Start date: We expect to make an offer by late February 2026, with a preferred start date in March/April 2026. We understand that some candidates may need longer to exit existing commitments.
